Financial Support from Python User Group Singapore

Our neighbor’s Python User Group Singapore started the PyCon APAC conference for the first time in 2010, and have been a strong supporter in pushing the conference to be held around Asia Pacific region.

They have been strong moral and financial supporters for PyCon APAC conferences in different host cities, and they are also supporting us for this year.

PyCon APAC 2017 Financial Aid Analysis

We did a quick analysis on the take up of our first Financial Aid program for PyCon APAC this year. Hopefully by shedding light on the statistic of the applicants for the FA program, it will increase awareness on such a program, and encourage more new comers to take advantage and join us in future PyCons.

The Analysis

PyCon APAC 2017 is the third PyCon event to be held in Malaysia. As we have a bigger budget to work with for this year’s event, we decided to run a Financial Aid program. The aim of the program is to provide financial assistance of MYR500 to as many attendees as possible to help them participate in the event.

Of the total, 71% are male. We found slightly more than half of them to be from the 21 to 29 year old group. A quarter are below the age of 21, the youngest of which is 19. Another 24% are above 30 years old.

Surprisingly, only 38% of the applicants are Malaysians. The majority of non-Malaysian applicants came from India. More than 60% are working while the remainder are studying or pursuing postgraduate degrees.

Around 38% of the applicants have attended a previous PyCon event; for one candidate this will be his 4th PyCon event. For the remainder, this will be their first PyCon.

Nearly two-thirds of them have advanced knowledge of Python, having produced products to do with Python or with Python. Two of the candidates are speakers for PyCon APAC 2017.

And that’s it. We thought it would be interesting to provide a breakdown of the candidates who applied for this Financial Aid program. Of the batch, 15 were selected. Our committee also made sure that all 15 attendees receive coupon codes that allow them to purchase PyCon APAC 2017 tickets at a discount.

Hopefully with the sharing of this data, we will be able to encourage more Python enthusiasts to apply for future similar programs.

Announcing the 2nd batch of our Financial Aid recipients

We would like PyCon to be accessible to everyone who wants to come and get involved, but one of the hurdles to accessibility is the financial burden that attending a conference imposes on attendees.
So one of the new things that we’re trying to do for PyCon APAC 2017 is to give out financial aid to selected participants. You can read more about our Financial Aid program philosophy here.

We have already received and approved 10 recipients in the 1st batch of Financial Aid. For the 2nd batch of Financial Aid recipients, we originally had a budget for another 2 recipients, but after getting strong support from our regional friends, we now have managed to make additional space for another extra 3 recipients, making it 5 recipients for this batch. One recipient from the 1st batch have informed us that he could not attend PyCon APAC, so we moved his grant to another person from the 2nd batch.

After announcing that we are looking for 2 more recipients for our financial aid program, we were surprised to receive quite a number of applications still. So instead of selecting 2, we selected a total of 6 applicants to receive this financial grant.

Financial Aid reopened: 2 more grants

Update: With only 4 weeks away from the PyCon APAC 2017 event, we have some good news to share.

We have decided to extend the Financial Aid Program to provide RM500 for another two individuals to attend the event. Thus, we will be receiving applications to be considered for the financial aid program for the next 2 weeks. The new closing date is 8 August 2017 (12.00am).

Financial Aid for PyCon APAC 2017

For PyCon APAC 2017, in order for us to increase opportunities to attend the conference, we have a Financial Aid program ready.

Philosophy/Outreach

Everyone – even the conference chair – pays for PyCon registration. That way, we can assist those who might otherwise not be able to attend. This includes major diversity and outreach programs to attract new speakers, students, and attendees.

The financial aid program is about the community nurturing itself by making itself more accessible at PyCon. It is true to the spirit of PyCon, by helping to make the information and interactions available to everyone.

Previous PyCon MY didn’t have a financial aid program due to budget constraints, but for PyCon APAC 2017, we do.

Financial aid recipients have some part of their expenses (which can include travel, hotel and registration) paid for with the PyCon budget. We actively encourage people to apply for financial aid. The PYCON MY PLT welcomes and encourages applications from students. While we wish we could give grants to everyone who applies, we do not have the funds to do that. Our goal is to get the most people to PyCon APAC by optimizing the funds we have.

Our financial aid will be granted based on the following, in no particular order:

  • Financial need: Tell us what’s stopping you from joining us?
  • Desire to attend: Do you really really want to come to PyCon APAC in Malaysia?
  • Level of experience in programming: How long have you dabbled in Python?
  • Contributions to open source
  • First-Time Attendance: Have you ever attended a PyCon in Malaysia or anywhere else?
  • Priority to under-represented groups, i.e students, overseas and female attendees
  • You’re submitting a talk

Financial reimbursement will only be provided for:

  • Travel expenses
  • Accommodations
  • Ground Transportation
  • PyCon APAC subsidized ticket 

Financial reimbursement does not cover:

  • Food
  • Miscellaneous expenses

Note that financial aid will be given in the form of a reimbursement and proof of purchase (such as receipts) will be required for the reimbursement process. It is the attendee’s responsibility to provide these proof. 

To ensure a high attendance rate, our goal is to provide financial aid to as many attendees as we can. This means instead of sending aid for 1 person who requires a larger amount, we’d prefer to split and send the same total amount to multiple attendees instead.

All reimbursement will be provided during or after the event itself. Disbursement of funds will be onsite during the conference, by check only, in MYR. No funds will be disbursed prior to the event. The check can be cashed at any CIMB bank branch in Malaysia.

Only those that have filed their disbursements will be allowed to pick up a check. For obvious reasons, no reimbursements will be processed for attendees who fail to attend the conference. We hope to see you there and thank you in advance for interest and much appreciated co-operation.

How many grants do we have?

In an effort to ensure as many people as possible can attend PyCon APAC 2017, we will be providing financial aid to 12 (10 has been announced) attendees with a maximum grant of MYR500 per applicant.

Are there any prerequisite to applying for the Financial Aid?

No, but we do put more weight on applications from students and under-represented groups like women.

After filling in the form with your particulars, we will need you to send in your photo ID (passport, student card if you’re a student or identity card if your’re Malaysian) for verification purposes to financial-aid@pycon.my. Please send in documents in English or Bahasa Malaysia only.

When is the closing date and announcement of successful applicants?

Application for this financial aid is open to all until 0000 MST, 10th July 2017. The 10 successful applicants will be announced on 9th August 2017.
